Cancellations Policy
Category-specific cancellation windows tailored to inventory turnover risk to protect both hosts and guests.
Quick Summary
Roominac enforces category-based cancellation policies. High-ticket venues like Farm Houses require more notice (5 days) for a full refund compared to commercial Hotels (48 hours). All cancellations under 24 hours (or No-Shows) are strictly non-refundable.
1. Cancellation & Refund Matrix
The applicable category policy is clearly communicated on the property listing page, checkout screen, and booking confirmation receipt prior to payment execution. Below is the standard matrix applied across the Roominac platform:
| Property Category | Full Refund (100%) | Partial Refund (50%) | Non-Refundable (0%) |
|---|---|---|---|
| Farm Houses | Cancel >= 5 days (120 hrs) prior to check-in | Cancel between 24 hrs and 5 days prior to check-in | Cancel < 24 hrs prior to check-in or No-Show |
| Guest Houses, Houses & Apartments | Cancel >= 3 days (72 hrs) prior to check-in | Cancel between 24 hrs and 3 days prior to check-in | Cancel < 24 hrs prior to check-in or No-Show |
| Hotels & Hostels | Cancel >= 48 hours prior to check-in | Cancel between 24 hrs and 48 hrs prior to check-in | Cancel < 24 hrs prior to check-in or No-Show |
2. Category Rationale
These timelines are structured to balance guest flexibility with the financial security of our verified hosts:
- Farm Houses (High-Value / Event Venues): A 5-day notice period protects hosts from unrecoverable weekend losses on high-ticket private venues while offering guests a 50% safety net up to 24 hours before their stay.
- Guest Houses, Houses & Apartments (Residential Units): A 3-day notice window gives residential hosts realistic time to re-list empty inventory while offering group travelers reasonable flexibility.
- Hotels & Hostels (Commercial Inventory): A standard 48-hour flexible policy aligns with international hospitality industry standards.
- Late Cancellations (< 24 Hours): Cancellations under 24 hours or guest no-shows are strictly non-refundable to protect host operational costs, cleaning schedules, and guaranteed lost revenue.
3. Extenuating Circumstances
In rare cases of severe, unforeseeable extenuating circumstances (such as documented government travel restrictions, severe natural disasters, or critical medical emergencies), Roominac may override the standard cancellation policy and authorize a full or partial refund. Such claims must be submitted to the Help Center with valid documentation within 14 days of the cancellation.
